Venue Rental Terms & Conditions

1. Agreement Overview

Thank you for choosing La Chas Place for your upcoming event. This Venue Rental Agreement establishes the general terms and conditions governing the use of our facility.

Specific event details, including event date, rental hours, selected package, guest count, floor plan, pricing, vendors, and any additional services, will be finalized upon confirmation of your reservation and receipt of the required deposit. Those details will become part of your Final Event Confirmation.

2. Reservation & Confirmation

Reservations are considered tentative until all of the following have been completed:

  • Submission of a reservation request

  • Approval by La Chas Place

  • Execution of the Final Event Confirmation

  • Receipt of the required reservation deposit

La Chas Place reserves the right to decline reservations that do not align with venue policies or availability.

3. Event Details

The Final Event Confirmation will include, at minimum:

  • Event Date

  • Rental Hours

  • Event Type

  • Estimated Guest Count

  • Selected Venue Package

  • Setup & Breakdown Times

  • Floor Plan

  • Approved Vendors

  • Audio/Visual Requirements

  • Special Accommodations

  • Final Pricing

4. Venue Use

The venue shall be used only for the event described in the Final Event Confirmation.

The Client agrees to:

  • Use the premises responsibly.

  • Ensure guests conduct themselves respectfully.

  • Follow all venue policies.

  • Comply with all applicable local, state, and federal laws.

5. Guest Capacity

Guest capacity shall not exceed the maximum occupancy established by La Chas Place and applicable fire safety regulations.

6. Vendors

Outside vendors are permitted subject to approval.

All vendors must:

  • Register with La Chas Place prior to the event.

  • Maintain any required licenses.

  • Provide proof of insurance if requested.

  • Follow all venue policies.

7. Decorations

Decorations are welcome provided they do not damage the property.

The following are prohibited without written approval:

  • Nails

  • Staples

  • Permanent adhesives

  • Confetti

  • Glitter

  • Smoke or fog machines

  • Pyrotechnics

  • Open flames not specifically approved

8. Audio & Entertainment

La Chas Place provides modern audiovisual capabilities including televisions and projector equipment.

Clients are responsible for ensuring all entertainment complies with local noise ordinances and venue policies.

9. Alcohol Service

Alcohol service is permitted only in accordance with Florida law and La Chas Place policies.

If alcohol is served:

  • All service must comply with applicable laws.

  • Any required licensed bartending or alcohol service must be coordinated through approved providers.

  • The Client remains responsible for guest conduct.

10. Damages

The Client accepts responsibility for damages caused by:

  • Guests

  • Vendors

  • Contractors

  • Event participants

Normal wear and tear is excluded.

11. Changes

Event details may be modified, subject to venue approval and availability.

Certain changes may result in additional fees.

12. Cancellations

Cancellation and rescheduling requests must be submitted in writing.

Applicable cancellation terms and any refundable amounts will be outlined in the Final Event Confirmation.

13. Force Majeure

La Chas Place shall not be liable for delays, cancellations, or interruptions resulting from circumstances beyond its reasonable control, including but not limited to natural disasters, government orders, public health emergencies, acts of terrorism, labor disputes, utility failures, or other unforeseen events.

14. Limitation of Liability

La Chas Place shall not be responsible for:

  • Lost or stolen property

  • Personal injuries not caused by venue negligence

  • Damage to personal belongings

  • Vendor performance

15. Photography & Marketing

Photographs of venue décor and event setups may be used by La Chas Place for promotional purposes unless the Client provides written notice requesting otherwise before the event.

16. Governing Law

This Agreement shall be governed by the laws of the State of Florida.

17. Entire Agreement

This Venue Rental Agreement establishes the general terms and conditions governing use of the venue.

Event-specific information—including pricing, rental hours, event schedule, selected package, approved vendors, floor plan, guest count, and additional services—will be documented in the Final Event Confirmation and incorporated into this Agreement.

In the event of any conflict between this Agreement and the Final Event Confirmation, the Final Event Confirmation shall control.

Client Acknowledgement

By submitting a reservation request and electronically accepting these Terms & Conditions, the Client acknowledges that they have read, understood, and agree to comply with this Venue Rental Agreement and all applicable venue policies.
